Forwarding email automatically

What you need
- Access to your webmail at webmail.mailflux.eu.
- The email address the messages should go to.
- An idea of whether you want to keep a copy in your own mailbox, or whether everything is only forwarded.
Forwarding email automatically: step by step
- Log in to your webmail and open the Settings menu (usually the gear icon in the top right).
- Go to the Filters or Rules section. Forwarding is arranged with a filter rule.
- Choose New rule (or Add filter).
- Set as the condition that the rule applies to all incoming messages, or only to mail from a particular sender or with a particular subject.
- Choose Forward to as the action and enter the address the mail should go to.
- If you want to keep a copy yourself, also switch on Keep a copy. Without that option, nothing stays in your own inbox.
- Save the rule. From now on, incoming mail is forwarded automatically.
Test the rule right away: send yourself a message and check whether it arrives at the other address. That way you can be sure nothing goes wrong while you're not around.
Forward everything or only certain mail?
You don't always have to forward everything. With the conditions in the rule you decide how finely you set it up. A few examples:
- Forward everything to a central inbox, handy if you're temporarily reading along elsewhere.
- Forward only mail from a particular sender, for example messages from a supplier to the right colleague.
- Forward only mail with a particular subject, such as everything containing "invoice" to accounting.
You can run several rules alongside each other. Do keep an eye on the order: filters are processed from top to bottom, so put a specific rule at the top if it should take priority.
Forwarding or an alias?
Forwarding and an alias look similar, but they do something different. An alias is an extra address that comes into the same mailbox. Forwarding sends mail to a completely different address, possibly at another mailbox. If you want to understand how this fits within professional email hosting, you can read there at your leisure what the options are.
Not working?
- Nothing is being forwarded. Check that the rule has been saved and enabled, and that the destination address is spelled correctly.
- Your own inbox stays empty. Then the option to keep a copy is off. Switch it on if you also want to read along yourself.
- Forwarded mail ends up in spam at the recipient. That can happen with automatic forwarding. Consider whether an alias or shared mailbox suits you better.
- You want to arrange it in a mail program. Forwarding is most conveniently set up in the webmail. You'll find the details for your program at the IMAP server settings.
