Using coloured tags and labels in webmail

With coloured labels and tags in the Mailflux webmail you organise your email at a glance: you attach a coloured label to a message and immediately see where it belongs. You set it up within the webmail at webmail.mailflux.eu, with no installation and no plug-ins. In this guide you'll read step by step how to work with email labels and tags, from creating your own label to filtering by colour.

Reading and managing email in the webmail, on any device

What you need

  • Your email address and password to log in to webmail.mailflux.eu.
  • An idea of the categories that work for you (for example Clients, Invoices, Follow up later).
  • Nothing else: labels are a built-in feature of the webmail.

Using email labels and tags: step by step

  1. Go to webmail.mailflux.eu and log in with your email address and password.
  2. In your inbox, select a message you want to organise.
  3. Click the Label (or Tag) button in the toolbar above the message.
  1. Choose an existing label or click New label to create one yourself.
  2. Give the label a clear name and choose a colour that stands out.
  3. Click Save. The coloured label now appears next to the message in your list.
  4. Want to quickly see everything in one category? Click the label in the sidebar to filter by that colour.

Organise smartly with colour

Keep the number of labels limited and meaningful, and it stays clear. A handy setup is by action (Do now, Awaiting reply, Archive) or by relationship (Client, Supplier, Internal). One message may carry several labels, so a client email with an invoice shows up under both colours. That way you keep even a busy inbox workable. Our customer Viki, a lawyer, cites the tags in the webmail for exactly that reason as one of the things that keep her productive.

Not working?

  • I don't see the label button. Open a message first or select it in the list; the button only appears once something is checked.
  • My labels aren't on my phone. Labels belong to the webmail. In a separate email program they may be shown differently (or not at all); that's not down to your settings. The server values for your email program are on IMAP and server settings.
  • A colour is hard to tell apart. Edit the label and choose a colour that stands out more clearly against your other labels.

Frequently asked questions

What's the difference between a label and a folder?

A folder moves a message to one fixed place; a label leaves the message in your inbox and attaches a coloured marker to it. Because a message can carry several labels, labels are more flexible than folders: you find the same mail again under every category you attached to it.

Can I rename or delete a label afterwards?

Yes. Open your label settings in the webmail, choose the label and adjust the name or colour, or delete it. If you delete a label, the messages themselves simply remain; only the coloured marker disappears. That way you can let your setup grow along with your work at your own pace.
