Sharing contacts with colleagues

Sharing contacts with colleagues is handled through central contact management in the Mailflux webmail at webmail.mailflux.eu: you manage one address book that you share with your team, so everyone works with the same, up-to-date details. Central contact management can be shared with colleagues and is part of the Pro and Premium plans. Here's how to set it up: no technical knowledge needed.

What you need

  • A Mailflux mailbox on a Pro or Premium plan. Central, shareable contact management is included in those plans, not in Basic.
  • Your full email address and the password of your mailbox to log in to the webmail.
  • The email address of the colleague(s) with whom you want to share the address book.
  • Want the contacts on your phone afterwards too? Read syncing your contacts via CardDAV.

Sharing contacts: step by step

  1. Go to webmail.mailflux.eu and log in with your email address and password.
  2. Open Contacts from the menu at the top.
  3. Create an address book for the team, or choose an existing address book you want to share.
  1. Open the options for that address book and choose Share.
  2. Enter your colleague's email address, set the desired access and confirm.
  1. Click Save. Your colleague will see the shared address book appear as soon as they log in.

Repeat step 5 for each additional colleague. Put your new customers or contacts in this address book and your colleagues see them straight away. Handy when someone is on holiday or leaves the company: the details stay stored centrally.

Why one central address book?

A shared address book prevents everyone from keeping their own little list with details that no longer add up after a while. Your customer and supplier details are in one place and stay with the team, even if someone changes role or leaves. New colleagues are up to speed right away: they see the same contacts as everyone else, without retyping or importing. You decide yourself which address books you share and which stay private.

Not working?

  • You don't see Contacts or a share option. Central, shareable contact management is part of the Pro and Premium plans. On a Basic plan it isn't available.
  • Your colleague doesn't see the address book. Check the email address you entered and ask your colleague to log in again or refresh the page.
  • You accidentally shared the wrong address book. Open the options for the correct address book and adjust the sharing there.
  • Still stuck? You'll find the current server and account settings on IMAP and server settings.

Can my whole team update the same address book?

Yes. Put your contacts in a shared address book and the colleagues you share with work from the same details. If someone changes a number or address, it's immediately correct for everyone. That's how you avoid separate, outdated lists on everyone's own device.

Are shared contacts on my phone too?
